Executive - IR & Admin

Job Summary:
Responsible for managing day-to-day administrative operations and supporting Industrial Relations (IR) functions, ensuring statutory compliance, smooth workforce management, and effective coordination between management and employees.

Key Responsibilities:

1. Time Office Management

  • Maintain attendance, shift scheduling, leave records, and overtime data
  • Coordinate payroll inputs and employee data management

2. Contractor Compliance

  • Ensure contractor statutory compliance (licenses, wage records, PF, ESI, etc.)
  • Maintain documentation under the Contract Labour (Regulation and Abolition) Act, 1970

3. Statutory & Legal Compliance: Ensure compliance with applicable labour laws including:

  • Employees’ Provident Funds and Miscellaneous Provisions Act, 1952 (PF)
  • Employees’ State Insurance Act, 1948 (ESI)
  • Maharashtra Labour Welfare Fund Act, 1953 (MLWF)
  • Maintain statutory registers and support inspections/audits

4. Administration Management

  • Oversee transportation, housekeeping, security, and canteen operations
  • Manage guest house, visitor coordination, uniforms, shoes, and employee welfare activities
  • Ensure vendor coordination and service quality monitoring

5. Apprenticeship & NAPS

  • Manage apprenticeship programs under Apprentices Act, 1961
  • Coordinate registration and compliance under National Apprenticeship Promotion Scheme (NAPS)

6. Employee Benefits Administration

  • Handle PF, ESI, MLWF processing
  • Manage Workmen Compensation (WC), Group Personal Accident (GPA), and Mediclaim policies
  • Coordinate with insurance providers for claims processing

7. Industrial Relations

  • Handle union interactions and grievance redressal
  • Support disciplinary proceedings and domestic enquiries
  • Maintain harmonious industrial relations

8. Onboarding & Joining Formalities

  • Complete joining documentation and induction formalities
  • Maintain employee personal files and records

Required Skills & Competencies:

  • 0-1 year of relevant experience
  • Knowledge of labour laws and statutory compliance
  • Strong administrative and coordination skills
  • Good communication and negotiation skills
  • Ability to handle confidential information
